Once a fleet grows past a handful of vehicles, tracking them one at a time stops being enough. What you need is a view of the whole: which vehicles are working, what they cost, who is driving them and where the time goes.

One view of the whole fleet

Every vehicle appears on a single map and in a single table, with its current status. Vehicles can be grouped by department, location, type or project, and each user sees only what has been assigned to them — a driver their own vehicle, a supervisor their group, management everything.

Cost and utilisation

Reports show distance, working hours and consumption per vehicle and per period, which makes vehicles of the same class directly comparable. This is usually where the first savings appear: a vehicle consuming noticeably more than an identical one on the same route has either a mechanical problem or a driving problem.

Idling hours are worth watching separately. An engine running while the vehicle stands still burns fuel without producing a single kilometre, and across twenty vehicles that becomes a significant annual figure.

Working hours and maintenance

The system records the start and end of the working day from actual movement rather than from the ignition being switched on, which gives a realistic picture of hours worked.

Odometer readings are collected automatically, so reminders for servicing, registration and insurance can fire before they fall due instead of being tracked by hand.

Driver identification

With a card reader or tag, each journey is tied to a specific driver. When several people share a vehicle, reports on distance, speed and behaviour are kept per driver rather than only per vehicle.

Integration with your own systems

The data is available through an API, so it can feed directly into your ERP, invoicing system or internal reporting. This is commonly used for automatic trip-sheet calculation, billing by distance travelled, and notifying a customer that a shipment is arriving.

How many vehicles does it take to be worthwhile?

The difference is noticeable from about five vehicles. On larger fleets the effect is more pronounced, because manual tracking stops being possible at all.

Will every employee see every vehicle?

No. Access is granted per user, so each person sees only what they need.
